Privacy Policy — Vaultly

Note: Vaultly is currently in pre-launch. This policy describes how we handle data collected through this website (getvaultly.com) and our waitlist. A full data processing agreement covering the Vaultly application will be published prior to general availability. This policy is a working draft and will be reviewed by a qualified solicitor before our full commercial launch.

1. Who We Are

This website is operated by Vaultly Ltd (in the process of incorporation in Ireland). Our registered address will be published here upon incorporation. You can contact us at hello@getvaultly.com.

For the purposes of GDPR and Irish data protection law, Vaultly Ltd is the data controller for personal data collected through this website.

2. What Data We Collect

Waitlist and contact forms

When you join our waitlist or book a demo, we collect:

Your name
Your work email address
Your company name
Your industry (optional)
Your team size (optional, demo form only)

Usage data

We do not currently use analytics tools or tracking cookies. We may collect basic server-side logs (IP address, browser type, pages visited) for security and operational purposes. These logs are not used for marketing or profiling.

Cookies

This site uses a cookie to remember your cookie consent preference. We also load fonts from Google Fonts, which may result in your IP address being transmitted to Google's servers. We do not control Google's data practices. See our Cookies section below for more detail.

3. How We Use Your Data

We use the information you provide to:

Contact you about early access to Vaultly
Schedule and conduct product demos
Send you relevant product updates (you can unsubscribe at any time)
Understand what industries and team sizes we should prioritise

We will never sell your data to third parties or use it for advertising purposes.

4. Lawful Basis for Processing

We process your personal data on the basis of legitimate interests (to run our waitlist and respond to demo requests) and, where required, consent. You can withdraw consent or object to processing at any time by emailing hello@getvaultly.com.

5. How Long We Keep Your Data

We retain waitlist and demo enquiry data for a maximum of 24 months, or until you ask us to delete it, whichever comes first. If you ask to be removed from our waitlist, we will delete your personal data within 30 days.

6. Your Rights Under GDPR

As a data subject in the EU/EEA, you have the right to:

Access — request a copy of the personal data we hold about you
Rectification — ask us to correct inaccurate data
Erasure — ask us to delete your data ("right to be forgotten")
Restriction — ask us to limit how we use your data
Portability — receive your data in a machine-readable format
Object — object to processing based on legitimate interests

To exercise any of these rights, contact us at hello@getvaultly.com. We will respond within 30 days. You also have the right to lodge a complaint with the Data Protection Commission (Ireland).

7. Data Storage and Security

Waitlist data is currently stored with our form provider (Tally.so / Formspree). We will update this section with details of our data processors prior to launch. We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or disclosure.

Our website is hosted on Cloudflare Pages, which processes data in accordance with Cloudflare's privacy policy.

8. International Transfers

Some of our service providers (including Cloudflare and Google Fonts) may process data outside the EEA. Where this occurs, we rely on standard contractual clauses or adequacy decisions to ensure appropriate safeguards.

9. Cookies

This website uses the following cookies:

vaultly_cookie_consent — a first-party cookie that stores your cookie consent preference. Expires after 365 days. This cookie is strictly necessary to remember your choice.

We also load fonts from Google Fonts. When your browser requests a font file, your IP address is sent to Google's servers. Google may set its own cookies. You can learn more at policies.google.com/privacy. If you decline cookies, we still load Google Fonts as these are required for the site to display correctly — we will review self-hosting fonts prior to full launch.

We do not use advertising cookies, analytics cookies, or any third-party tracking.

10. Changes to This Policy

We may update this policy as our services evolve. We will post the updated version on this page with a new "last updated" date. For significant changes, we will notify waitlist members by email.
